01 The Today board The screen the day runs from. It reads the live bookings and sorts them the way you'd triage them yourself.
The day in dispatch order: overdue first, then late pickups, returning today, going out today, currently out, tomorrow. One-tap Call or WhatsApp on every overdue and late-pickup card. A fleet strip — available, out, in service, overdue — that filters the vehicle list. A papers banner when any vehicle's documents need attention. One tap builds the daily dispatch sheet as a PDF and shares it on WhatsApp. 02 Bookings One record per rental, from confirmed to returned — and it can't clash with another.
Ongoing, upcoming and past — overdue bookings float to the top in red. A clashing booking cannot be created: the app names who has the vehicle and when. Price suggested from the vehicle's rate × days; deposit up to the price. Edits after handover need a reason, and every change lands in the booking's timeline. Cancel before handover settles a held deposit — refund or forfeit, recorded. 03 Handover Twelve steps between "booked" and "gone" — finished in the yard, on your phone.
Six photos: front, back, left, right, dashboard, fuel gauge. Meter reading that can't be below the last one. Fuel level on an E–F gauge. The customer's selfie and signature, captured on the spot. Every capture timestamped and geolocated. Skipping a photo requires a reason. The record is evidence — nothing can edit it afterwards. One tap shares the agreement PDF to the customer's WhatsApp before the vehicle leaves. 04 Return & money at return The same checklist on the way back in — then the money, worked out line by line.
Extra km, fuel and late hours suggested from the booking's own numbers — you decide each line. Damage lines carry a description and photos. The deposit settles by rule: no charges — refunded; charges below the deposit — partly refunded; charges at or above it — forfeited, with a reason. Every settlement gets a reason and a timestamp. The receipt shares to WhatsApp in one tap. 05 Vehicles & papers Each vehicle's page answers the two questions that matter: is it earning, and are its papers in order?
Status board with filters — available, out, in service, overdue. Month insights per vehicle: money in, days rented, and an idle nudge when it sat too long. Lifetime money in, money out and net per vehicle. Papers — insurance, revenue licence, emission test — with expiry badges: red when expired, amber from 30 days out. 06 Service The workshop, planned instead of remembered.
Plan a service window and it blocks bookings for those days. Due signals by kilometres or months — flagged from 90% of the interval. Mark it done with the meter reading and the cost; the cost lands in expenses on its own. Past services stay on the vehicle's record. 07 Customers & drivers The renter directory and the chauffeur roster, kept separate and searchable.
Search by name or phone number as you type. A parseable NIC fills date of birth and gender by itself. NIC and licence photos on file per customer; booking history on every profile. Drivers carry their own licence number, expiry and photos — green, amber or red as the date approaches. 08 Availability The next 12 days, vehicle by vehicle, answered before the caller finishes the question.
Each day splits the fleet: booked (who and until when), in service, free. Tap a free day to start the booking with the date and vehicle already filled. Filter by vehicle type or number plate. Readable offline — the last synced view stays available without signal. 09 Reports Money in, money out, net — the app's only money words, current as of today.
The month by business and by vehicle, with days rented beside the money. Deposits outstanding — what you're holding, in one number. This year against last year, month by month. Renewals & service: what the next 90 days will need — "have about this much ready." Top customers by spend, with how many came back. 10 Expenses Money out has one home, so "net" means something.
Eight fixed categories: fuel, insurance, revenue licence, emission test, washing, parking fine, driver, other. Recorded against the business or a single vehicle. Service costs appear automatically from completed workshop windows. A month view with one running total and a filter per vehicle. 11 Documents The paperwork, printed clean and shared where your customers already are.
Rental agreements and receipts as PDFs — in English or Sinhala, per booking. Your business name, tagline and signature on every document. Not ours. The daily dispatch sheet as a one-page PDF. Every document shares to WhatsApp in one tap. 12 Your website A public page for the business, filled from the app — no coding, no designer.
Home, fleet, about and contact pages at yourname.rentdeck.lk. Have your own domain? Connect it from the app and the site runs at www.yourbusiness.lk — the rentdeck.lk address forwards there. Choose a theme, pick which vehicles show, publish when it's ready. Photos and prices come from the fleet you already manage. Share the link on WhatsApp or your ikman.lk listing. See the themes — live examples 13 On your phone No laptop, no installation drama. It runs where the work happens.
Works on any phone with a browser — add it to the home screen like an app. Push alerts when a return goes overdue, a pickup is missed, or a service overruns. The board and availability stay readable offline; changes need signal. Sign in with your mobile number and a code — no passwords to forget.
